How to Schedule an Appointment with Your Counselor

You are encouraged to visit your counselor several times during the year. You can schedule an appointment two ways: logon to SPAN to schedule the appointment or speak to one of the Student Services Technicians during lunch, before or after school. You must present either an appointment pass or printed evidence from SPAN to your teacher to be released from class. With the exception of emergencies, you must have an appointment to meet with your counselor during the school day. Appointments are in thirty-minute maximum intervals and all information shared is confidential unless information relates to safety.

Faculty Recommendation Forms

The following process will be used for the completion of faculty recommendation forms for college admissions. Seniors are strongly encouraged to secure recommendations within the first six weeks of school.

  1. Students pick up page one (Applicant’s Waiver of Right of Access to Confidential Statement) from Student Services and submit of the faculty recommendation form in Student Services and complete it with necessary signatures prior to giving it to the teacher.
  2. The teacher keeps the form and completes the actual recommendation form using the template in the shared folder. He or she will print, sign and return the document to the registrar for processing.
  3. Teachers are encouraged to save the document on a disk instead of the shared folder.
Transcript Requests

Wakefield High School is working to make requesting and sending transcripts easier for you! If you are a currently enrolled student, choose one of the options below. Former students within the last 5 years should follow option 2. Former students who attended a WCPSS high school more than 5 years ago should contact WCPSS Central Records at (919) 850-1638.
1) Electronic Transcript Requests
Docufide Secure Transcripts. (www.docufide.com) Transcripts can be requested and delivered electronically through this system to any college or university in the country. The cost per transcript is $5. Transcripts that are delivered electronically usually arrive at the college or university within 24 hours. Transcripts that are mailed by Docufide usually arrive within 7 days.
2) Paper Requests for Transcripts
You may also request a transcript from the Registrar in the Student Services Office. A transcript should be requested 5-7 days before you need it to be mailed. For current students, there is no charge for the first 3 transcripts each school year, and there is a $3 charge for each additional transcript. After receiving written permission from the parent, the transcripts will be sent to any college, university, or organization requested. Former students are charged $3 per transcript.

Additional Transcript Information
1) There is no charge for the following paper transcript requests.
• Mid-year senior year transcript
• Final transcript after graduation to the college or university that you will attend
• Transcripts for any scholarship or award requested by the high school scholarship committee

Please complete a transcript request form at your school and turn in to your high school Registrar. These transcripts will then be sent through US Mail.

2) Scholarship requests – You may request a transcript from the Registrar in your high school Student Services Office for scholarship applications. Follow the same procedures listed in “Paper Requests for Transcripts”. A transcript should be requested 5-7 days before you need it to be mailed.

3) In order for a transcript to be “official,” it must be:
• delivered electronically through Docufide,
• sent from the high school office to the college, university, or organization without the student or parent handling it.

4) Official transcripts for current students are available each year by the 20th school day.

Withdrawing from School

The following process will be used for withdrawing from school:

  1. On the last day, students come to Student Services prior to their first period class to pick up the Withdrawal Form.
  2. The student takes the Withdrawal Form to each class and has their teacher complete their section of the form including current grades.
  3. The student returns their books to each teacher on the last day; returns any books to the Media Center and pays all fines.
  4. At the end of the day, the student returns the completed Withdrawal Form to Mrs. Diggett or Mrs. Torres in Student Services for processing.
  5. The student will receive a copy of the Withdrawal Form to take with them to their new school.
Student Messages

Protecting instructional time is critical to student academic success. Please make sure the message is absolutely necessary. Class time will not be interrupted to deliver messages to students. The following procedure will be used for notifying students who have messages:

  1. Messages must be received before the first lunch begins.
  2. The message is taken and placed on the morning announcement list in Student Services.
  3. An announcement is made prior to first lunch that says; "The following students need to report to Student Services during THEIR lunch:" and then the list of names is read.
  4. Students are responsible for picking up their message during their lunchtime.
  5. A final announcement is made at the end of the day for students who did not pick up their message during lunch.
  6. Classes will not be interrupted to deliver messages to students.
    Any concerns about this process will need to be discussed with an Administrator.
Items Dropped Off for Students

Students should be encouraged to plan ahead for the items the will need for classes, athletics, band, and any other school activity. Class time will not be interrupted to deliver items to students. The following process will be used to notify students of items dropped off for them:

  1. There will be a designated table/area in Student Services for items to be tagged/identified by the parent/family member and left for students.
  2. The duplicate copy of the notification will be given to Mrs. Diggett or Mrs. Torres and they will place the student's name on the announcement list.
  3. An announcement is made prior to first lunch that says; "The following students need to report to Student Services during THEIR lunch: " and then the list of names is read.
  4. Students are responsible for picking up their packages/belongings during their lunchtime.
  5. A final announcement is made at the end of the day for students who did not pick up their packages/belongings during lunch.
  6. Classes will not be interrupted to deliver packages/belongings to students.
    Any concerns about this process will need to be discussed with an Administrator.
Personal Telephone Calls
Students who need to make personal calls will need to use the pay phones. There will not be a phone available to students in Student Services. Students who are sick will go through the Attendance Office to contact their parent/guardian.
